Clocking In and Out Using QR Codes

To allow your employees to clock in and out using the site-assigned QR codes, these QR codes will need to be placed at your sites. When your staff arrive at the job sites, they will need to scan the QR code. Depending on your settings, the app might ask them to enter a few additional details to complete the process of being clocked in or out.

For example, if you have set the time attendance settings to request the employee to take a selfie, provide a digital signature, or answer custom questions, then after scanning the QR code, your staff members will need to provide all the requested information.

QR Clocking Flow

Follow the steps below to configure and use the QR clock-in feature:

Site Configuration

  1. Sites Screen: Go to the sites screen.

  2. QR Code Assignment: Each site that you have added will automatically be assigned a unique QR code.

  3. Print QR Code: On the sites list, locate your desired site, right-click on the site name, or click on the [Actions] button, then select 'Print QR'.

          View QR Code: This will open a new dialog displaying the assigned QR code.

           
  1. Download QR Code: Click on the [Print] button. This will download a PDF version of the QR code.

  2. Seal the QR Code:

    • Laminating Pouches: Print the QR code and place it inside a plastic laminating pouch. Running it through a laminator seals the code in a durable, waterproof, and tamper-evident layer.

      • Pros: Affordable, easy to do with a laminator, protects against water and wear.

      • Cons: Can be cut open with scissors, and a clear photo can still be taken of the laminated code.

  3. Place the QR Code: Securely place the printed QR code material around or inside a safe location at your site.


Staff Settings

  1. Enable App Access: You will need to grant your employees the ability to clock in using QR codes. To do this:

    • Go to the employee screen.

    • Select the employee or multiple employees, then right-click and select 'App Access'.

    • Enable and set the option 'QR Clocking' to YES. 


  2. Mobile App Access: Your staff members will now see a menu option on the mobile app named "QR Clocking".

  3. Clocking In:

    • Staff members will need to click on this menu option.

    • Then click on the [Clock In] button. New options will appear asking how to clock in (using QR).

  4. QR Scanning: Once they select the QR option, the app will display the "QR scanning" screen. Employees can now follow the app prompts to complete the clocking-in process.
