New enhancements


Enhanced the Grant / Revoke Access window

The new window will allow the admin user to easily maintain employee permissions & visually know the current access granted and revoked for the employee




Clocking against Adhoc shifts

Ahdoc shifts are now activated and granted on the employee level rather than company wide level. This will give you more control on who should access and be able to create and clock-in against Adhoc shifts. 




All companies and organisation that have enabled the Adhoc shifts for their employees:
  1. Will not be able to see this access anymore under time attendance setting
  2.  All their current staff will automatically now have access to create and clock-in against Adhoc shifts.
  3. When you create a new employee, the admin user will have the option to grant or not to grant access to the employee for clocking against Adhoc shifts.
  4. For existing employees, you can remove this access by going to the employee screen and selecting ‘Grant Online Access’


Internal office admin users

System administrators can control which internal security profile or users  have access to grant and revoke (Adhoc shifts) to their employees

 


 

 

Employee Termination Reason

As part of the off-boarding process, companies will need to select the reasons as to why an employee has been dismissed/terminated. This will assist the companies in maintaining their off-boarding process to ensure it is done correctly, and to abide by Fair work/ATO rules.

When you select to inactivate an employee, a pop-up screen will prompt you to select the termination reason

 



View Employee Termination Reason 
You will be able to view the termination reason for your inactive employees when you go to their profile, and select 'revision history'. This will display the reason selected for their termination, and by whom and on what date the termination occurred.  

Manage Termination Reasons 

Additionally, you can add & manage your own company termination reasons by going to :

Setting > Setup tables > Termination Reason


 

Added employee middle name field to the employee record.

This enhancement will allow you to easily recognise employees more easily, especially those with identical names.

On the employee screen, You can include the middle name to be displayed on the employee list.


Added GPS monitoring distance change and GPS accuracy to the attendance settings screen

Companies now have greater control of how to obtain the GPS location information of their employees when they clock-in for their shifts. This will help with the data and battery usage of your employees’ mobile phones.

We have now added new settings for the GPS tracking accuracy.

ATTENDANCE SCREEN ENHANCEMENTS

 

Added a GPS Marker icon on the time attendance data table, that allows the user to easily click on the icon to view the captured clocking detail on Google maps.

 

When the GPS icon has a grey colour, this indicates that no GPS data was captured.

When the GPS icon has a blue colour, this indicates that GPS data was captured and available to be viewed.

 


 

Auto Match & timesheet automatic fill with shift details.

Added an arrow     icon next to the shift on the time attendance data table, that allows the user:
A. Auto-match the timesheet record with the rostered shift.
B. Copy the rostered shift to an missing timesheet or none clocked timesheet record

 

This icon will be visible when:

- Timesheet record is in PENDING status & not locked
- Timesheet record is missing and employee did not clock-in for his shift. 

 


Once you press the arrow icon, the following pop-up screen will be displayed to confirm the auto-match of hour




Scheduler screen enhancements

Added Job Ref-No to the fields that can be displayed in a roster shift cell

If you currently assign and utilise the Job-Ref-No for your shifts, you now can customise your shifts to display the job ref-no inside the shift cell.

Shift Enhancement

Now you can add more information to your shifts and optionally, also allow your staff to view this information on the mobile app.

Now you can enable shift depot area and also add tags or labels to the shifts

Move unconfirmed shift to OPEN Shifts

Requiring confirmation is an option that some companies use. When you publish a shift with confirmation required, the team member assigned to the shift will be sent an email, push notification and must either accept or decline the shift within a defined time period.

This time period may be customised on the roster settings. They can accept or decline the shift via the ClickTime mobile app.

If a team member does not confirm the shift by the defined time period, the shift will automatically become an Open Shift.

 


 

 


USERS & PERMISSIONS ENHANCEMENTS

System admin can now control which users or security profiles can view the employee's assigned pay template on the scheduler screen.


 


Time attendance report

New column is now added to the report. You can now select to include the name of the clocking day in the report, like “Mon, Tue, Wed…etc

 


Custom Timesheet Enhancements

With custom timesheet, you can create your own custom timesheet and collect more information from the field workers. With custom timesheet, the power is on your hand, you can customize the timesheet that suits your business requirements.


1.      Now you add character text limits to the text input fields

2.      With text field, you can now select if the input field will be displayed as a single text input or multiline free text input

3.      Two new field types were added to the custom timesheet.

A.     Radio buttons

B.     Check box list

The check box can be added as a regular check box or as a button, where the user can select multiple answers by ticking on the check boxes or buttons.



            


Bulk assignments of staff to Pay templates & Pay Cycles

Admin users who have access to payroll can now assign multiple employees to pay templates or pay cycles.

Just hover over the pay template or pay cycle record you want to assign your staff to & click on the icon or the number to open the assignment window, select the staff to be assigned and click on save

 


 


 

 

Add the ability to let you know who viewed the Post order/Toolbox talk and did not sign or acknowledge

 


 

 

Added the ability to let the employees & users to add their own notes when they  sign, acknowledge or complete tasks or post order & toolbox talks.





Access employee change history
You can now access the employee change history and audit log , right from the employee list without having to click and retrieve the employee record.
On the employee list, just right mouse click on the employee record or click on the actions drop down and select 'Change History'








Employees & Supervisors can now access all video tutorials right from within the ClickTime App
On the App > Go to menu item [More] > you will see the below link to the Video tuorials 




Added new employee access for clocking using QR code and NFC

Depending on your company’s operations, you can now grant your employees access to using QR codes or NFC’s to clock-in and out of their shifts. Every site is assigned an NFC code and also a QR code.

You can print  multiple copies of the QR code for your sites, eliminate the print out, and place them somewhere accessible at the site.

Employees can scan the QR code to clock-in at the site. Employees will then be prompted to continue adding mandatory fields and details such as (photo, signature…etc) to continue the normal clocking procedure. This feature is handy for construction companies that have a large work force, that need to clock-in and out at the same time in the morning and when they leave.
