Export Time Attendance Records to MYOB Business

Summary of what can be transferred:

  1. Regular hours
  2. Overtime hours
  3. Jobs ==> Site in ClickTime
  4. Paid Time Off (PTO)

Export Time Attendance Records to MYOB
This document is specifically for MYOB business.

ClickTime uses the following four key fields to match up your staff members in ClickTime and MYOB:

  1. External / Payroll ID (in ClickTime) to Employee Card ID in MYOB
  2. First Name
  3. Last Name (in ClickTime) Family or Surname (in MYOB)
  4. Email address

Before you get started you’ll need to make sure:
  1. Approved Timesheet. All timesheet records must be approved before ClickTime can export them 
  2. Employees. Employee External-ID   matches the Employee number in MYOB.
  3. Employees Employee Names are identical in both systems. First and Last Names are identical in both systems.
  4. Email Address. Email address is identical in both systems. 
  5. Leave. You must also ensure that the Leave names in ClickTime and MYOB match up
  6. Payroll Period. Ensure the payroll period in MYOB matches the payroll period in ClickTime.
  7. Site & Locations.  Site External ID in (ClickTime) and Job (MYOB) Codes are the same.
            NOTE: in ClickTime , the site External/payroll ID represent the job that will be exported 
                        and matched with MYOB

In ClickTime. For users without Advanced or Premium subscription

Advanced Package
For clients that are subscribed to the advanced package, ClickTime will always export the employees timesheet with a default pay item "Base Hourly" 
 
Advanced Package
Develop general or custom pay templates based on day, time, or work, allowing for tailored solutions for different employees or sites.

Configuring MYOB

      Make sure that the system is set to accept time sheets as an import.

     Set your employee to hourly

      Next, while still in your employee details, click on the Payroll Details tab and

      select Salary and Wages. Ensure that the Pay basis says Hourly. Click Save.

      Remove standard pay 

      Next, while still in your employee details Payroll Details tab and select 

     Standard pay and  delete the Base Hourly show that it shows 0.00 and
     click Save.

      

      Note: If you do not remove the value in Hours in a pay cycle then when the hours from
      the ClickTime timesheets are exported into MYOB, it will incorrectly add the exported
      hours on top of these standard hours.
      
      Note: If your employee uses their middle name, please place that name in the same
      text box in both ClickTime and MYOB.


Exporting Time Attendance or Timesheet Data

  1. Select Time Attendance Screen from main menu if you want to export time attendance record
  2. Select Export Tab
  3. Click and Select the time period to be exported 
  4. Click On the filter icon     to display the filter area. You can filter and select to export particular site, departments or pay groups.
  5. On the left employee panel, select and De-select the employee records to be exported
  6. On the displayed time records, you may also select to export particular records only. Tick and UN-tick the desired records to be exported
  7. Click on the Export button to display the export window



Exporting File Type

To export your data for use in MYOB AccountRight, follow these steps:

  1. Click the Export button in your ClickTime interface.

  2. A popup window will appear.

    • From the Export Type dropdown, select MYOB AccountRight.

    • Then choose the Export Format:

      • Comma Delimited (.csv)

      • Tab Delimited (.txt)

  3. Click Export to begin the process.

  4. Wait while ClickTime prepares your export file.

  5. Once the file is ready, it will be available for download.

  6. After downloading, you can import the file directly into your MYOB AccountRight system.

  

Troubleshooting and Limitations

Why does ClickTime give an error during export that my employee does not exist?
  1. Ensure that the employee first and last name in ClickTime and MYOB match exactly. Any middle names need to be in the same field on both applications.
  2. Ensure the Employee Payroll External ID in ClickTime matches with the MYOB Employee number for this team member.

31 character limitation on wage category names in MYOB.
In MYOB, the Export Code is limited to only 31 characters.
Make sure your pay categories/ Export codes in ClickTime 31 characters or less. Check this help article for the pay categories & export Codes
