How to set up time attendance notifications & alerts

WorkTimeManager has a special function to generate accurate and automatic notifications and alerts about each individual employee and the overall workforce. This way, it can be an effective tool for the managers & supervisors to keep track of all daily issues and stay informed about their workforce and the daily working operations within the organization.

WorkTimeManager alerts and notification:
  1. Reduces the communication gap between employee and management.
  2. Reduce user’s interaction and admin work for the managers & supervisors.
  3. Alerts and notifications tell users when they need to take action and support them with necessary information.
      
 
Notification Methods
You may choose to select more than one notification method for each alert being sent to the recipients
• Push: The recipient will receive a notification on their mobile device.
• Email: The recipient will receive a notification in their email inbox.
• SMS: The recipient will receive a notification via text.


SMS Prerequisite
If you like your employees and supervisors or admin to receive SMS alerts make sure of the follow:
  1. Contact WorkTimeManager to activate you SMS account
  2. Make sure all users & supervisors that will receive the SMS alert, to have their mobile number defined in the system
  3. Make sure all employees that will receive the SMS alert, to have their mobile number defined in the system
  4. Make sure that your country is selected in Setting → App Setting  General Setting

Go to  Setting → App Setting → Time Attendance Setting → Employee Alerts

Missing & Late Clock-In Alert
Alert schedulers for missing and late clock-in
!This option is only applicable when employees work on scheduled shifts
Reminder  and Missing Clock-Out Alert
Alert schedulers for missing clock-out
! This option is only applicable when employees work on scheduled shifts

Capture GPS location every
Will send a shift reminder to the employees reminding them of their next assigned shift based.

You can configure when to send the reminder based on each site. Some site might be far away from the company head quarter, so notification can be sent 2 or 3 hours before the shift start time. Check the site’s (Remind Employees for Upcoming Shifts) value



! This option is only applicable when employees work on scheduled shifts




                                                    Alerts Sent to Supervisor
Go to  Setting → App Setting → Time Attendance Setting → Supervisor Alerts

Missing & Late Clock-In Alert
Alert schedulers for missing and late clock-in

Missing Clock-Out Alert
Alert schedulers for missing clock-out
! This option is only applicable when employees work on scheduled shifts

Early Clock-Out Alert.
Alert schedulers for employees who clocks-out earlier than scheduled end time.

! This option is only applicable when employees work on scheduled shifts

No Activity Alert
Send alert to scheduler if no activity is detected on employee mobile. Example, GPS is required & employee monitoring is Set to ON, but the mobile or the GPS is switch off for more than one hour.

Left the job site
Alert schedulers for employees who leave job site during shift
Send alert to scheduler if no activity is detected on employee mobile. Example, GPS is required employee monitoring is
Set to ON, but the mobile or the GPS is switch off for more than one hour.

Clocked outside job site
Send alert to scheduler if an employee clocks-in or out away from the job site geofencing area defined for the job site.



                                                                      Alerts Recipients
Navigate to the alerts recipients tab to define who should receive the alerts and when alert will be sent.
Alert recipients can be any of the following:
A. Site Supervisor
If you select this option, make sure that you assign a supervisor to all your sites. Just go to the site and populate the site supervisor field with the assigned supervisor. 
If you have multiple supervisors for your site, you can add multiple recipients to receive the alerts
B. Team Supervisor

C. Individual Admin & office members
D. Any external email outside your organization
