Automating & Manual Roster Locks in ClickTime
In ClickTime Australia, the Roster Auto‑Lock feature gives managers greater control over weekly schedules by automatically locking rosters after a set period. This prevents unauthorised edits, safeguards payroll and invoicing accuracy, and streamlines roster management. Authorised users can also manually lock or unlock rosters when needed, with built‑in safeguards to re‑lock schedules and block changes to locked weeks. This guide explains how to enable auto‑lock, set lock delays, and perform manual lock or unlock actions for secure and efficient workforce scheduling.

Lock & Unlock Permission
This feature is available to users with access to the "Roster" screen and the "Lock & Unlock Shifts" permission.
Please note that this is a critical feature that might affects payroll and invoicing. Only authorized users should have access to lock and unlock the roster.

Enabling Auto-Lock
- Navigate to Settings: Go to the "Settings" section of ClickTime.
- Access Roster Settings: Under "Roster Settings Tab," find the "Auto-Lock" option.
- Toggle Auto-Lock On: Enable the auto-lock toggle to activate this feature.
Setting Lock Delay
- Configure Delay: Once auto-lock is enabled, you'll see a field labeled "Lock Delay."
- Specify Days: Enter the number of days you want to delay the automatic lock after the end of the roster period. For example, if you want to lock the roster 3 days after the week ends, enter "3."
Locked Week
While the week is locked, any attempts to add, edit, copy, move, or publish shifts will be blocked.
The system will display a toast message at the top of the schedule screen to inform you of this restriction.
Copying Rosters to Locked Weeks
When attempting to copy a roster to a future week, the system will check the status of the target week. If the target week is locked, the copy operation will fail.
Manual Locking
- Open Roster Screen: Go to the "Roster" screen in ClickTime.
- Select Week: Choose the week you want to lock.
- Access Options: Click on the "Options" dropdown menu.
- Select "Lock Selected Week": Choose this option to manually lock the roster.
- Confirm Lock: A confirmation window will appear. Click "Lock" to proceed.
Unlocking a Locked Roster
- Navigate to Roster Screen: Go to the "Roster" screen.
- Select Locked Week: Choose the locked week.
- Access Options: Click on the "Options" dropdown menu.
- Select "Unlock Selected Week": Choose this option to unlock the roster.
Note: If a locked roster is manually unlocked, it will automatically re-lock after a few hours to prevent unintended changes.
