Welfare Check Setup



Welfare Check is now available! Ensure the safety and well-being of your employees with our advanced welfare check system. Companies can schedule welfare checks at specific intervals during employee shifts—such as every hour—and set up to three follow-up notifications if no response is received. This feature is particularly valuable for organizations with a workforce at remote sites, employees working alone, or those on night shifts, providing a reliable way to monitor their safety. Designed to support businesses with employees across various locations, this system helps prioritize employee well-being and prevent potential incidents.

Setting Up Welfare Checks

Global Settings
:
          Go to Setting > App Setting > Roster Setting > Welfare Check tab
    • Enable or disable welfare checks for the entire company.
    • Select the days and times when welfare checks will run.
    • Set the frequency of welfare checks (e.g., every 1, 2, or 3 hours)
    • Configure up to three follow-up checks if the initial welfare check is not responded to
    • Set the interval between follow-up checks (e.g., 3 minute after the initial check, 5 minutes after the first follow-up, etc.)
                     


Site-Specific Welfare setting

 Once the global settings are configured and enabled, any newly added site will automatically inherit these global welfare settings.

All global settings will be applied to the new job site. However, users have the flexibility to tailor these settings further at the individual site level to address specific operational requirements or unique conditions


Customizing the Welfare Question and Response Buttons

Our software allows you to personalize the welfare question and the text of the response buttons to better suit your needs. By default, the welfare question is:  This is a welfare question. Is everything alright?

And the default text for the two response buttons is: “YES” and “NO”

However, you can customize these to reflect your company’s tone and style. For example, you might change the question to:

We care about your well-being. Is everything okay?  And the response buttons to: “Okay” and “Not Okay”

 

 To customize these texts, follow these steps:

  1. Navigate to main menu Setting > Roster Setting > Welfare Tab.

Scroll to the button of the page where you will find the section that says ‘Customize Your Company Welfare Question’

  1. Enter your desired text for the welfare question.
  2. Enter your preferred text for the “Yes” and “No” buttons.
  3. Save your changes.




This flexibility allows you to create a more personalized and engaging experience for your users.


How to Check Staff Members Who Missed Welfare Checks


To monitor and track missed welfare checks, follow these steps:

  1. Locate the Dashboard Card:

    • On the system's main dashboard, find the card dedicated to "Missed Welfare Checks."

    • This card updates automatically and displays the live count of missed welfare checks.

  2. Real-Time Monitoring:

    • If you have a monitoring team working at night, they can observe this live data to respond promptly whenever a welfare check is missed.

  3. Historical Data Access:

    • For operations or management teams, you can review data from previous days, weeks, or specific time periods.

    • Simply click on the "Missed Welfare Checks" card on the dashboard to access detailed information.

  4. View Missed Check Details:

    • The system will display the names of all staff members who have not responded to the welfare check.

    • You’ll also see the number of welfare checks missed and the exact times when they were missed.
