Rounding Timesheets

Managers can adjust the Settings for Rounding Clock Times from the Setting → APP Setting → Time & Attendance Setting. The following can be set:

ClickTime gives you the flexibility of selecting the rounding method that best suit your business needs.
There are three rounding methods to choose from as follow:

Rounding Method for Job Site Coverage hours / Start and Finish Times
Our system allows administrators to define specific start and end times for each day of the week for various job sites. With this feature, administrators can set a rounding window (e.g., 15 minutes) around these times. If an employee clocks in within the defined 15 minutes before or after the job site’s start time, the system will automatically round and adjust the clock-in time to match the job site’s start time. Similarly, if an employee clocks out within the 15 minutes before or after the job site’s end time, the system will round and adjust the clock-out time to match the job site’s end time. If the clock-in or clock-out times fall outside of these 15 minutes, no rounding will occur, and the actual times will be recorded.

Example: If the job site start time is 8:00 AM and the end time is 5:00 PM, and the rounding window is set to 15 minutes:

An employee clocks in at 7:50 AM. The system will round this to 8:00 AM.
An employee clocks in at 8:10 AM. The system will round this to 8:00 AM.
An employee clocks out at 4:50 PM. The system will round this to 5:00 PM.
An employee clocks out at 5:10 PM. The system will round this to 5:00 PM.
An employee clocks in at 7:30 AM or clocks out at 5:20 PM. The system will record these actual times without rounding.
This feature ensures that employee work hours are accurately aligned with the job site’s operational hours, providing a consistent and fair approach to time tracking.

Rounding Method for Scheduled Shift Start and Finish Times
Our system allows administrators to define specific start and end times for scheduled shifts. With this feature, administrators can set a rounding window (e.g., 15 minutes) around these times. If an employee clocks in within the defined 15 minutes before or after the scheduled shift start time, the system will automatically round and adjust the clock-in time to match the scheduled shift start time. Similarly, if an employee clocks out within the 15 minutes before or after the scheduled shift end time, the system will round and adjust the clock-out time to match the scheduled shift end time. If the clock-in or clock-out times fall outside of these 15 minutes, no rounding will occur, and the actual times will be recorded.

Example: If the scheduled shift start time is 8:00 AM and the end time is 5:00 PM, and the rounding window is set to 15 minutes:

An employee clocks in at 7:50 AM. The system will round this to 8:00 AM.
An employee clocks in at 8:10 AM. The system will round this to 8:00 AM.
An employee clocks out at 4:50 PM. The system will round this to 5:00 PM.
An employee clocks out at 5:10 PM. The system will round this to 5:00 PM.

Standard Rounding Method
rounding rule is a common employer practice that simplifies payroll processing by adjusting employee clock in/out times to the nearest specified increment. For example, to round the clock in/out time to the nearest five (5) minutes or quarter of an hour. To support your company's policy, you can set a rounding rule to use with ClickTime timekeeping tools. 

Round Clock In times to the nearest
• Rounding Direction of Clock In time (This will round employee's clock In time and you can set the rounding directions to Up, Down or Nearest)
• Rounding Direction of Clock Out time (This will round employee's clock out times and you can set the rounding directions to Up, Down or Nearest)




Tip: Rounding up or down refers to movement on the clock. Meaning:
  • if you round up you're moving time forward on the clock
  • if you round down you're moving the time backward on the clock

These roundings are handy in cases where your staff Clock In early earlier and you may want those early clock-ins to be auto rounded upwards to the nearest X minutes. Or in the case of staff that may show up late by few minutes and you allow that as a grace period

Tip: Rounding up or down refers to movement on the clock.  Meaning:
• if you round up you're moving the start/end time forward on the clock
• if you round down you're moving the start/end time backward on the clock


Example

The table below shows you how ClickTime applies the rounding policy you set for the Company level Timesheets tool. In this example, a 15 minute rounding increment was set and each row in the table shows you how an employee's time entry is adjusted by each available rounding option.
