Publishing the Schedule Using Wizard

Publishing the Schedule
Applies to Account Holders, Managers, Supervisors

Overview
When you initially add a shift to the schedule, it will NOT be visible to your employees. The employee cannot see the shift until you publish it. This allows you to build and tweak the schedule without making it visible to your employees. 

Notify Employees
When you’re done making the schedule, you need to let your employees know of their assigned and scheduled shifts. Publishing the schedule alerts your employees that they have new or modified shifts, and allows them to see the shifts in the ClickTime APP.
Published shifts will always tagged as ‘Published’




Republishing Schedule
If you’re making a small tweak or change to the schedule, you might want to publish one shift at a time. However, if you’ve made many changes to your schedule, we recommend publishing the entire schedule at once.

Publishing the schedule for a single shift, week, or multiple weeks
The Publish button near the top-right corner of the Scheduler allows you to publish the schedule for the current selected and displayed weeks currently displayed on the scheduler page.
When you’re finished making the schedule, click Publish button to let your employees know about their shifts. Employees with new or updated shifts are immediately notified by email, mobile notification and/or SMS

Before Publishing:
A- Make sure you are currently working or the desired week(s) to be published by selecting the period to be published from the weeks drop down list.
     

B- Click on the publish button on the top right-hand side of the scheduler page and follow the steps.


Publish all Shifts or Updated Only. 
If you publish the schedule and then make changes (like adding shifts without publishing them or UnPublishing shifts), the Publish button turns red. The red button is a visual reminder that the schedule contains unpublished changes & will tell you how many shifts on your schedule are unpublished




Publishing Steps
When you click the Publish button, the system will display a wizard window, where you will go through three steps before publishing your shifts.


1-   Publish Type

           This option allows you to publish and send notifications about shift changes to specific
         sites or all sites.
          



       2-  Sites  To Be Published
             This option allows you to publish and send notifications about shift changes to specific
           sites or all sites.

             


     3-  Notification Method
         This option allows you to select how employees will be notified about their new or
         modified shifts. You have 3 options to select from:
         
          SMS.
          This option will send an SMS to the employees with their scheduled shifts
          Email.
          This option will send an email to the employee. The email has the published
          shifts listed in a table and will also have an email attached displaying the
          rostered shifts on a calendar format.
            Mobile Notification.
          This option will send a notification to the employee mobile alerting them of new
          or modified weekly schedule to be viewed with their ClickTime mobile APP.
            No, Notification.
          Just mark as published. Will not notify the employees, but the shifts will be marked
          as published.
