Overview

This tool is a great way to engage your employees, whole organization, contractors and interact with them. Think of it as your company communication hub where you can create a post, write a description, attach documents and assign the post to a single employee, group of employees or contractors, then simply monitor completion progress.

As an admin, manager or supervisor, there would be times where you need to post company news, team updates or particular requests, post orders, tasks to employees and contractors within your organisation.

Whenever you create a new post or news feed, you will be able to request what action your employees or contractors need to perform once they are assigned & receive the post.



This tool will allow you to communicate with and involve your employees or contractors in your company's day to day operations. It’s a great tool to track which employees have signed off, completed or acknowledged on important posts, policies and procedures.

For example

You can create a post and attach files with the post and ask your employees or contractors to read the attached files.

They  will  be able to acknowledge the post and you will be able to track who acknowledged and who did not
     

Who can create a toolbox talk, posts, news feed, update..etc:

  • Any user or contractor with Maintain & Manage access to the Post Order, Toolbox Talk, or News Feed can create posts and assign them to relevant employees.

  • A contractor user with Maintain & Manage access can assign posts only to their own employees.

  • Contractor users cannot assign or share posts with users outside their team.


Tailor the terminology to fit your needs.

Terms like toolbox talk, news feed, requests, message board, assignments, and post order refer to similar functionalities. In ClickTime, you can customize these terms to align with what works best for your business.

How to customize:

  1. Go to Settings > App Settings > General Settings > General Custom terms
  2. Select the term that fits your company's use.
  3. Once you save, you, your employees, and users will see this term across the web application, mobile app, push notifications, and emails.



How to create a post

Follow the below steps to create a new post

1- On the main menu under the operation menu item, go and click on the news feed or whatever term you have selected as the term to be used (toolbox talk, news feed , post order...etc)

2- Click on [Add New] button, this will open a new wizard window that will have three tabs. The wizard will take you through the pages  to be filled. 

      3- Details Page. On the first page add the name, category and the action required by your recipients.

         Actions can be:

         There are several actions that you can select from which allows you to decide,
         how your employees, teams & contractors will see the button action and how they will respond.
                  
 

A. Acknowledgement. Assignee will be required to click on a [Acknowledge] button.  
B. Acknowledge Completion.  Assignee will be required to click on a [Complete] button. 
C. To Be Signed Assignee will be required to digitally sign. Once the assignee tap on the sign button,
    the app will ask the assignee to sign and submit. 
D. View & read.  Assignee will not be required to take any further action. 



4- Add Due Date & Reminder.
    Optionally select if the post has a due date and optionally if you want the system to automatically send email & push notification reminders
     to  your recipients.

5- Add Attachments, Media & Links

      A. Click on Next button

      B. Attachments. Attach a file or more to the post for your team to view or download.

       You have 3 options to select and upload your attachments.

A.  Drag & drop files to the files are.

B.  Click on the + Icon

C.   Click on the browse button. You may attach JPG, PNG, DOCS, XLSX, TXT, MP4 and PDF files to the post. You may attach up to 4 files, however, there is a limit of 5MB per file

6- Select Recipients, Assigned employees & Contractors
  1. Click on  the Next button, then the system will display a list of employees, users & contractors.
  2. Select Recipients. Select the recipients that you would like to assign the new post to. You can filter, search and sort the list.  


To view the list of staff members who have completed or not completed the task:

  1. Locate the pot order or toolbox talk: Search for the relevant toolbox talk or post order.

  2. Click on the Completion Number: Find and click the number that represents the completed tasks. This number typically displays as a fraction, showing the completed count over the total number of recipients (e.g., 10/50).

  3. View the Details: Once clicked, a new window will open, presenting two tabs: "Completed or Signed" and "Not Completed or Not Signed."

  4. Print & Export. you will have options to download the report as a PDF and Excel

 



Toolbox or Post Order Templates
Toolbox or post order templates provide an efficient way for your organization to create and distribute toolbox talks or posts to staff working at specific sites. These templates can be scheduled and automatically delivered at predetermined times, either on all days of the week or selected days, ensuring seamless communication with your team.

Key Features:
Customizable Delivery Options: When setting up a template, you can choose from three scheduling options for when the post order will be sent:

  1. After Clock-in: Sent to employees as soon as they clock in for their shift.
  2. After Clock-out: Delivered to employees once their shift ends.
  3. On Schedule: Sent at a specific scheduled time.
         Scheduling Flexibility: Posts or toolbox talks can be configured to automatically send on:
         * All days of the week.
         * Specific Select days, tailored to your scheduling needs.


Targeted Assignment: You can assign the post order template to:
  1. All employees across the organization.
  2. Specific teams or departments.
  3. Particular roles or positions within your organization.
