Post Order, New Fees & Toolbox talk


Overview

This tool is a great way to engage your employees, the whole organization and interacts with them. Think of it as your company communication hub where you can create a post, write a description or instructions, attach documents and assign the post to a single employee, group of employees or contractors, then simply monitor completion progress.

As a manager or supervisor, there would be times when you need to post company news, new safety instructions, changes of regulations, and team updates to employees or contractors within your organisation and you need a mechanism where you make sure all staff reads, acknowledge and sign off on the posted message




Custom Terms 
ClickTime gives you the ability to customize the name of this feature. you can call it toolbox talk, pre-start talk, post order, post news feed or assignments.

 

To customize the term to be used, Go to Settings> App Settings > General Setting and select the term that fits and suits your company's use. Once you select the term and save it, then you, your employees & all users will see this term reflected and used all over the application.



Prestart talk & Toolbox talk 

Pre-start talks (pre-work briefings) and toolbox talks are short and important meetings that are mainly used on construction and other industrial sites to convey timely and important safety information to workers including safety instructions, changes in procedures and/or changes in rules and regulations.


Whenever you create a new post or news feed, you will be able to request what action your employees or contractors need to perform once they are assigned & receive the post.




This tool will allow you to communicate with and involve your employees or contractors in your company's day to day operations. It’s a great tool to track which employees have signed off, completed or acknowledged on important posts, policies, documents and procedures.


    




Who can create posts:

Any user or contractor who has (maintains ) access to the Post order, Toolbox Talk or News feed will be able to create posts and assign them to the relevant employees.

If a contractor user has Maintain & Manage access, the contractor will only be able to assign the post order to his own employees. The contractor user will not be able to assign and share the post with other users of the system that are not part of his team.


How to create a post






How Employees, Users, and contractors can acknowledge and Complete posts

Using the ClickTime mobile app, users will receive a push notification on their ClickTime App
and  also an email informing them that, they were assigned a post-order or a request and they
will have link inside the email to view the full details of the post. 

               


Delete a Post

You can ONLY delete a post that has NO acknowledgement or completion, meaning that, if
one single employee or contractor has completed or acknowledged the post, you will not be
able to delete the post.
In case you need to fix this issue, you can either VOID or CLOSE the post. See below the
details for closing or voiding posts.

To delete a post, right-mouse click on the post you want to delete and select the delete
menu option, or use the actions drop menu for the record located on the right-hand side
and select the delete option.  

  

Close a Post
  1. When you close a post, no assigned employee or contractor will be able to action it. 
  2. Assigned employees or contractors can still view the post details.
  3. You can always open a closed post as a user if you have the proper access. 


VOID a Post
  1. When you VOID a post, no assigned employee or contractor will be able to action it.
  2. Assigned employees or contractor will not be able to view the post details.
  3. If you have the proper access, you can always un-void voided posts.
