ClickTime Form Types

Introduction

When creating a new form in ClickTime, you can choose from three distinct form types, each designed with specific functionality to suit different organizational needs


1. General Purpose Forms

This type of form is ideal when you need to assign a form to specific employees, groups, contractors, supervisors, or teams based on their roles or departments.

By default, a General Purpose Form is assigned to all employees, but you can customize its availability by selecting who should have access to it.

Example:

If you create an Induction Form and want it to be visible only to specific employees and all contractors, those users will see the form listed in the ClickTime Employee App under the Forms section. They will be able to complete and submit it.

Form Availability:


You can set this form to be always available or restrict it to a specific date range.

For example, if you need a form to be accessible at all times, such as an Incident Report, Daily Activity Log, Expense Reimbursement Form, or HR Feedback Form, you can select the Always Available option.

2. Scheduled Inspection / Audit Forms

This type of form is used for recurring audits or inspections, which can be scheduled daily, weekly, or monthly.

When creating a scheduled form, you’ll need to provide:

    • Frequency (Daily, Weekly, Monthly)

    • Start date

    • Site(s) where the inspection/audit will be conducted

    • Geofencing settings (whether submissions must be made within the specified location)

    • Assigned personnel (if multiple people are assigned, ClickTime will generate separate inspection records for each)

    • End period (either after a set number of occurrences or by a specific date)

               After you set up the schedule for an inspection form, ClickTime will automatically
               send email and push notifications to the assigned employee, informing them
               about the scheduled inspection and providing timely reminders to ensure
               completion. 

                                  


3. Functional Forms

Functional Forms are designed for specific system functions and screens.

Currently, these forms can be used for Site Tour Checkpoints. For example, if you have a tour with multiple checkpoints, you can assign different forms (or the same form) to be completed at each checkpoint.

In the future, additional functionality will be introduced—such as requiring new employees to complete induction forms before being scheduled for a shift or before they can clock in and out.
